EXAM ENTRY TERMS

Exam Entry Terms & Conditions

Refunds, withdrawals and candidate responsibilities. Effective for all exam entries from the date of payment.

1. Acceptance of Terms

By submitting payment for an examination entry with WINA Tutorial College (the Centre), the candidate and/or parent/guardian confirms that they have read, understood, and agreed to these Exam Entry Terms & Conditions in full.

These Terms & Conditions apply to all candidates entered for examinations through WINA Tutorial College, including private candidates, external candidates, and candidates requiring access arrangements or specialist provision.

2. Exam Entry & Administration Process

Upon receipt of payment, the Centre immediately begins the exam administration process. This includes verification of candidate details; preparation and submission of exam entries to awarding bodies; reservation of exam capacity and invigilation resources; allocation of staffing and exam space; processing of access arrangement and/or home invigilation requests where applicable; and ongoing compliance with JCQ and awarding body regulations.

Many of these processes involve non-recoverable administrative time and costs, including costs charged to the Centre by awarding bodies and third-party providers.

3. Refund & Withdrawal Policy

3.1 Withdrawals on or before 31 January
If a candidate withdraws from an exam entry on or before 31 January, they will be eligible for a 90% refund of the total exam fee paid. The remaining 10% is retained as an administration fee to cover costs already incurred. Refunds are processed back to the original payment method.

3.2 Withdrawals after 31 January
If a candidate withdraws after 31 January, no refund will be issued. This is because exam entries are typically being finalised or submitted; exam capacity, staffing and resources have been committed; and many costs at this stage are non-refundable to the Centre. This applies regardless of the reason for withdrawal.

4. Non-Refundable Circumstances

No refunds will be issued for withdrawals due to, but not limited to: change of mind; change of exam centre or provider; personal circumstances; health issues unless explicitly covered by awarding body policy; university or school decisions; or timetable or travel changes.

5. Access Arrangements & Additional Services

Where access arrangements, home invigilation, or specialist provision are requested, these services may involve additional fees. Once the application process has begun, related costs may be non-refundable. Approval of access arrangements is subject to awarding body regulations and evidence requirements.

6. Candidate Responsibility

It is the responsibility of the candidate and/or parent/guardian to ensure all personal details are correct at registration, meet deadlines for documentation and evidence, familiarise themselves with the examination timetable once confirmed, and attend examinations as scheduled. Failure to do so does not constitute grounds for a refund.

7. Reference to Invoices & Website

These Terms & Conditions are published on the WINA Tutorial College website and referenced on all exam invoices issued. Payment of an invoice constitutes full acceptance of these Terms & Conditions.

8. Amendments

WINA Tutorial College reserves the right to amend these Terms & Conditions in line with awarding body regulations and operational requirements. Any updates will be published on the Centre’s website.
